Job Description & Purpose:

We are looking for a Financial Officer to take day-to-day ownership of accurate accounting records, strong financial controls, timely reporting and disciplined financial administration across Technovera (Pty) Ltd and Pelebox NPC. The role is hands-on: it combines transaction processing and reconciliations with management accounts, budgeting, payroll, tax coordination, funder reporting and continuous improvement of our finance systems.

The Financial Officer will help the Leadership Team understand the organisation's financial position, make sound decisions and meet obligations to employees, suppliers, clients, funders and regulators. The person must be comfortable working in a lean scale-up where records have to be both operationally useful and audit-ready, and where finance is expected to follow through from source document to final report.

This role will suit an organised and principled finance professional who enjoys solving discrepancies, building controls, explaining numbers clearly and closing work completely and on time.

What Success Looks Like:
  • • Accounting records for both entities are complete, current, supported and reconciled.
  • • Monthly closes, management accounts, cash-flow forecasts and project reports are produced accurately and on schedule.
  • • Payroll, supplier payments, statutory submissions and client invoicing are completed correctly and by their deadlines.
  • • Finance controls are understood and followed across the organisation, with exceptions identified and resolved early.
  • • Leadership and project owners can rely on clear financial information for operational and strategic decisions.
Duties, Functions and Responsibilities:

Financial Accounting, Reconciliations and Month-End Close:

  • • Maintain complete and accurate accounting records for Technovera (Pty) Ltd and Pelebox NPC in the approved accounting system and controlled document repositories.
  • • Capture, classify and review income, expenses, journals, accruals, prepayments, provisions and inter-entity transactions using the correct accounts, projects, cost centres and supporting evidence.
  • • Perform daily, weekly and monthly bank, cash, creditor, debtor, payroll, VAT, loan, intercompany and balance-sheet reconciliations; investigate and clear reconciling items promptly.
  • • Own the monthly and year-end close checklist, coordinate inputs, post approved journals and maintain a clear close file with review evidence.
  • • Maintain complete audit trails from source documents to ledger entries, reconciliations and reported balances.
  • • Prepare and maintain schedules for fixed assets, depreciation, deposits, commitments, deferred income and other material balance-sheet items.
  • • Support annual financial statement preparation and respond to audit or independent-review queries with organised, traceable evidence.
  • • Identify accounting errors, control failures or unusual transactions and escalate material matters immediately.

Budgeting, Management Accounts and Decision Support:

  • • Coordinate annual, quarterly and monthly budgeting and reforecasting processes with accountable budget owners.
  • • Prepare accurate monthly management accounts, including profit and loss, balance sheet, cash flow, project performance and relevant operational ratios.
  • • Analyse actual performance against budget, forecast and prior periods; obtain explanations and convert them into useful management commentary.
  • • Maintain rolling cash-flow forecasts and flag expected funding gaps, collection risks, large commitments or payment pressures early.
  • • Develop clear dashboards and finance snapshots that help non-finance colleagues understand revenue, margins, costs, debtors, creditors and cash.
  • • Support pricing, costing, procurement, hiring, project and investment decisions with credible financial analysis and scenario modelling.
  • • Track financial actions arising from Leadership Team, project and management review meetings and follow through to closure.
  • • Protect the integrity of reported results by applying consistent accounting policies, assumptions and cut-off rules.

Cash Management, Accounts Payable and Accounts Receivable:

  • • Manage the end-to-end accounts payable process: supplier onboarding, invoice verification, approval routing, payment preparation, remittance and filing.
  • • Prepare payment batches for authorised release and maintain separation of duties; never approve or release payments outside delegated authority.
  • • Maintain supplier statements, investigate disputes and ensure approved suppliers are paid within agreed terms without duplicate or unsupported payments.
  • • Manage client invoicing against contracts, purchase orders, delivery milestones and acceptance evidence.
  • • Maintain debtor ageing, follow up collections professionally, record commitments and escalate overdue or disputed accounts.
  • • Monitor daily cash positions and expected inflows and outflows across bank accounts and projects.
  • • Support procurement controls by verifying budget availability, approvals, quotations and value-for-money documentation.
  • • Maintain banking, payment and beneficiary-control records and promptly report suspected fraud, irregularity or cyber-enabled payment risk.

Payroll, Tax and Statutory Compliance:

  • • Administer monthly payroll accurately and confidentially, including approved earnings, deductions, leave inputs, benefits and employee changes.
  • • Reconcile payroll to employment records, bank payments, the general ledger and statutory submissions before final approval.
  • • Coordinate PAYE, UIF, SDL, VAT, income-tax and other statutory calculations, returns and payments with internal and external specialists.
  • • Maintain tax calendars, supporting schedules, assessments, correspondence and evidence of submission and payment.
  • • Support employee tax certificates, payroll queries and year-end payroll reconciliations within agreed turnaround times.
  • • Maintain current records for CIPC, banking, insurance, Compensation Fund and other finance-related compliance requirements allocated to the role.
  • • Monitor regulatory or accounting changes relevant to the organisation and translate them into practical actions, with specialist advice where needed.
  • • Handle all financial and employee information in accordance with confidentiality, POPIA and authorised access controls.

Funder, Grant and Project Financial Management:

  • • Set up and maintain project budgets, cost codes, expenditure files and reporting calendars for grants, contracts and internally funded initiatives.
  • • Review project expenditure for eligibility, budget availability, correct allocation, supporting documentation and compliance with funder rules.
  • • Prepare monthly, quarterly and close-out project expenditure reports, reconciliations and variance explanations for review and submission.
  • • Track restricted funds, co-funding, advances, recoveries, foreign-currency transactions and project commitments where applicable.
  • • Work with project leads to forecast expenditure, address underspend or overspend risks and maintain evidence for deliverables and cost claims.
  • • Coordinate funder audits, spot checks and financial due diligence, ensuring requested records are complete and traceable.
  • • Contribute financial inputs, budgets and assumptions to funding proposals and commercial submissions.
  • • Maintain appropriate separation and reconciliation between organisational and project financial records.

Assets, Records, Systems and Process Improvement:

  • • Maintain the fixed-asset register, tagging records, locations, custodians, additions, transfers, disposals and periodic verification results.
  • • Maintain controlled finance folders in Google Drive with clear naming, permissions, version history, retention and authorised deletion practices.
  • • Document and improve finance policies, procedures, work instructions, templates, checklists and approval matrices.
  • • Strengthen preventative and detective controls and test whether agreed controls are operating consistently.
  • • Use accounting, payroll, spreadsheet and reporting tools efficiently; automate repetitive work where this improves accuracy and control.
  • • Maintain a finance issues and improvement log, complete root-cause analysis where recurring errors arise and verify corrective actions.
  • • Train colleagues on expense claims, procurement, project coding, supporting documents and other finance processes.
  • • Prepare a daily or weekly work plan, communicate progress proactively and keep all assigned finance deliverables visible through to completion.

General Responsibilities:

  • • Participate actively in team, project, planning, reflection and performance meetings.
  • • Support recruitment, onboarding and training where finance input is required.
  • • Protect organisational assets, credentials and confidential information and follow all approved policies and delegated authorities.
  • • Work collaboratively across functions and provide practical support during deadlines, audits, project mobilisation and close-out periods.
  • • Undertake other duties reasonably consistent with the role's grade, competence and organisational needs.
Experience & Qualification:
  • • Bachelor's degree in Accounting, Financial Management, Finance or a closely related field [Minimum NQF Level 7].
  • • At least four years' relevant post-qualification experience in financial accounting, management reporting, payroll, tax or project finance.
  • • A completed or progressing professional designation such as SAIPA, SAICA, CIMA, ACCA or equivalent is advantageous.
  • • Demonstrated experience with accounting and payroll software; experience with Sage Accounting, Sage Payroll Cloud or Xero is advantageous.
  • • Strong Microsoft Excel or Google Sheets capability, including reconciliations, lookups, pivot tables, data validation and structured financial models.
  • • Experience working with more than one entity, funded projects, nonprofit reporting, external audits or public-sector clients is advantageous.
  • • Clear understanding of internal controls, source-document standards, month-end close and South African payroll and tax compliance processes.
  • • High numerical accuracy, professional integrity, confidentiality and the ability to investigate discrepancies independently.
  • • Excellent written and verbal communication, with the ability to explain financial information to non-finance colleagues.
  • • Valid South African driver's licence with at least two years' active driving experience and confidence driving for work-related travel.
  • • Valid passport by the start date and willingness to travel when required.
  • • Legal right to work in South Africa and ability to complete role-relevant verification and reference checks.
Working Conditions and Mobility:
  • • This is a deadline-driven role with concentrated work around payroll, month-end, statutory submissions, audits and funder reporting cycles.
  • • The role requires regular office presence for records, coordination and controls, with approved hybrid work dependent on operational requirements and performance.
  • • Occasional work outside normal hours may be required during audits, submissions or critical project deadlines, with working time managed under organisational policy.
