Job Description & Purpose:

We are looking for a “Junior Office Administrator” to run and support our Johannesburg office. The candidate will primarily be responsible for administering general company activities and completing clerical and administrative tasks for our office. The role is centred on ensuring that everything runs well and that critical documents are accessible and always available. The ideal person is someone who can coordinate activities throughout the company to ensure efficiency and maintain compliance.

Duties, Functions and Responsibilities:

Office Administration:

  • • Welcoming visitors and directing them to the relevant office/personnel.
  • • Responding to email enquiries from prospective clients and partners.
  • • Supporting company operations by maintaining office systems.
  • • Taking Minutes of Meeting and Associated Actions / Next Steps.
  • • Maintain files and records, so they remain updated and easily accessible.
  • • Aid with filing staff documents (Leave forms, Sick notes etc.).
  • • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including official correspondence, memos, resumes, and presentations.
  • • Coordinating diaries and arranging appointments, booking meeting rooms and conference facilities in order to prevent duplicate bookings.
  • • Support basic bookkeeping, receipt management, supplier deliveries and budgeting procedures for the company.
  • • Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
  • • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures.
  • • Purchasing office supplies, equipment, and furniture.
  • • Receive, data capture and file weekly vehicle trip logs, reports and company-specific documents.
  • • Making travel arrangements for business trips.
  • • Printing, Photocopying and scanning documents.
  • • Create and update databases and records for financial information, personnel and other data.
  • • Process and prepare documents, such as business or government forms and expense reports.
  • • Maintain and improve the existing filing system. Assist in sorting and filing appropriate paperwork in designated files and repositories. This includes digital files on shared drives and hard copies.
  • • Performing other relevant office duties when needed.
  • • Develop daily/weekly work plan, outline associated daily tasks and targets and report daily and weekly on completed actions.
  • • Assist colleagues whenever there is an opportunity to do so.

Basic Recruitment Support:

  • • Placing of advertisements for positions.
  • • Shortlisting candidates.
  • • Reference checks on shortlisted candidates.
  • • Arranging interviews between candidates and the respective team members.
  • • Following up with potential candidates after interviews.
Experience & Qualification:
  • • Matric Qualification – Grade 12 and relevant qualification [Minimum NQF Level 4].
  • • Minimum 2 years of working experience.
  • • Valid SA driver’s license [Beneficial].
  • • Excellent communication in person, in writing, and over the phone (SA Multi-Lingual).
  • • Computer Literacy.
  • • Proficient with Microsoft Office (MS Word, Excel, and PowerPoint).
  • • Advanced level in MS Excel would be an advantage.
  • • Ability to operate office equipment such as printers, etc.
  • • Good typing speed [at least 70wpm].
  • • Good analytical skills and ability to work independently.
  • • Excellent interpersonal skills, Attention to detail, and the ability to work well under pressure.
